Audubon Neighborhood Association seeks Office Manager
Job Summary: The ANA Office Manager is responsible for making the office run smoothly,
interacting positively with the general public and assisting the ANA board/committees and task
forces in completing their work.
Major Job Responsibilities:
The ANA Office Manager responsibilities include, but are not limited to:
1. Directing Office Communications: Routing mail/e-mail/faxes/phone calls -- maintaining an
e-mail address book of residents and businesses, directing information to the appropriate board
members. General filing and organizing.
2. Performing Bookkeeping Duties: Opening and inputting accounts payable, writing and
mailing checks, and running monthly reports for board/treasurer review.
3. Managing Membership Database: Maintaining accurate database. Sending updated list each
month to printer/mailing vendor.
4. Producing Monthly E-newsletter: Compiling events/info for e-newsletter, gathering e-mail
addresses from Audubon Park residences, creating and maintaining a neighborhood business e-
mail database to solicit information for ANA's e-newsletter.
5. Serving on the Communications Committee: Attending meetings and assisting in the
production of ANA's quarterly newsletter as needed, compiling area events for quarterly
newsletter calendar.
6. Setting up and Directing ANA Community Meetings: Sending agenda items to
printer/mailing vendor. Bringing necessary supplies, staffing sign-in table, welcoming new
members, and making general announcements. Contacting potential volunteers after the meeting
and directing them to the appropriate board member.
7. Maintain Office Equipment and Supplies: Maintaining an appropriate inventory of office
and program supplies. Purchasing supplies. Overseeing office equipment including fax machine,
computer and printer.
8. Light Housekeeping Duties: Keeping the office presentable, vacuuming, organizing
literature, maintaining our window announcement board, light shoveling.
9. Performing Other Tasks as Needed: Maintaining procedures manual for the office
operations (currently in the works). Assisting committees and task forces as needed. Assisting in
special events as needed.
Requirements and Qualifications:
Education:
High school diploma or GED, minimum.
Experience:
Competency required with MS-Office, Quicken, Internet and e-mail.
Two years demonstrated competency as Office Manager/Neighborhood Coordinator.
Experience in neighborhood organization/NRP preferred.
Knowledge and Abilities:
Must possess ability to work independently with minimal supervision.
Computer competency; word processing, general accounting, database, various e-mail and office
programs.
Ability to interact positively and helpfully both in person and over the telephone with residents,
board members, volunteers, and others.
Ability to manage multiple tasks, details and responsibilities independently.
Ability to maintain confidentiality.
Dependable; manages time well; able to work flexible hours for special events.
Well-organized and detail oriented.
Ability to speak Spanish a plus but not required.
Hours and Wages:
This part-time position is approximately 12 hours per week. Some work from home is possible.
Requires flexibility to include some evening and possible weekend hours. Salary range is $14-
$16 per hour, depending on experience and qualifications. There are no benefits associated with
this position. There will be performance reviews at 30 days, 60 days and 180 days, then annually
thereafter. This position may require a background check.
